Set up Email (auto-reply)
A mailbox people email their questions to; the answer comes back as a reply, citing its sources (a “Sources:” link to the sender's own web chat, where each citation opens the exact passage). Senders are recognised by the email address on their user account — if the address is on the account, it already works. Nothing to install anywhere.
Before you start
- A dedicated mailbox (e.g. ask@your-company.com) and its IMAP settings from your provider — Gmail: imap.gmail.com; Microsoft 365: outlook.office365.com.
- An app password, if the account has two-factor sign-in (Gmail and Microsoft 365 both require one for IMAP) — Gmail: Google Account → Security → 2-Step Verification → App passwords.
- An outgoing mail server configured under Settings → Email (SMTP) — replies are sent through it, so set this up first, or Test will report it missing.
- Chat channels → Email (auto-reply): enter the IMAP server, the mailbox address and its password. Create, then Test.
- Tell people to email their questions to that address from the address on their user account.
How people use it
Nothing to link, nothing to activate: if the address on someone's user account matches the sender, it just works from their very first email. The reply threads onto the original message (Re: your subject) and is signed “Naxis Assistant (automated reply)”, citing its sources with a “Sources:” link into the sender's own web chat, where every citation opens the exact passage. Add an extra address for someone in the people list if they sometimes ask from a second inbox.
Access
Only an address that matches a user account can use this channel — there is no guest access here at all. Mail from anywhere else, or anything that isn't a human-written message, is dropped without a reply, never a link prompt.
Auto-replies, newsletters, bulk mail and anything spam-flagged are skipped, and the assistant marks its own replies so other systems don't answer back. Test can succeed on the mailbox itself while still warning that SMTP isn't configured — replies won't send until Settings → Email (SMTP) is set up too.
