Set up Jotform
Connect Jotform to make form submissions searchable — each form's month becomes one digest document of question/answer pairs, so “what did people say in the intake form” answers from the actual submissions. Read-only.
Before you start
- The credential is a Jotform API key, from your avatar → Settings → API → Create New Key — Read Access is enough, Full Access is never needed.
- EU accounts create the same kind of key at eu.jotform.com instead.
- The key only reads. It can list forms, questions and submissions; it can never write back to Jotform.
- In Jotform open your avatar → Settings → API and create a key with Read Access.
- Documents → Jotform, paste it into API key.
- Set Region to match where your account lives — United States or EU data residency — and optionally adjust History to sync (days) under Advanced.
- Choose access groups, Test, then Sync.
What comes in
- Each form's month becomes one report document: every submission received that month, rendered as question/answer pairs under the day it arrived.
- Disabled forms sync too, at lower authority — their answers remain as history, ranked below an active form's current ones.

Access
Jotform exposes no per-item viewers to mirror, so access is decided entirely by the groups chosen when the source is set up. Access stays allow-only.
Months already synced stay searchable when submissions age out of the History to sync window; the oldest partly-covered month waits for a later sync rather than syncing half-empty. A form whose submission count and last-update stamp haven't moved since the previous sync is re-emitted from memory at no extra API cost.
