Import your team from a connected system
If a system you've connected already knows your people — a CRM's owners, an ERP's users, the engineers on GitHub, the agents in Zendesk — you don't have to type them in again. Sources that expose a member directory offer “Import people”: pick who to bring in, and accounts are created for them in one go.
- Open the source (Documents → click it). While it's being set up, “Bring your team in” appears as an optional step; later it's always available as Import people… in the ⋯ menu.
- Review the list it found — name and email, exactly as the platform reports them. People who already have an account here are marked and skipped automatically.
- Tick the people you want — All and None above the list bulk-select — choose the groups their accounts start with, and whether to email each person their activation link right away.
- Create. Each new account appears under Users as Invited — activation links are always available there to copy, and a single run can bring in up to 500 people.
Which sources can do this
Any source with its own member or user directory offers this — open its ⋯ menu and look for Import people. That's every CRM and ERP (HubSpot, Salesforce, Pipedrive, Zoho, Dynamics 365, Odoo, Close CRM), HR and recruiting system (Personio, BambooHR, HiBob, Deel, Ashby, Workable — often the fastest way to onboard the whole company), issue tracker and project tool (Jira, Linear, Asana, ClickUp, Basecamp, monday.com, Wrike, Trello), support inbox (Zendesk, ServiceNow, Freshdesk, Freshservice, Intercom, Help Scout, Gorgias, Front), and most chat, meeting and ops tools (Slack, Mattermost, Webex, Zoom, PagerDuty, Harvest). GitHub, GitLab and Gitea/Forgejo list their members too, but only those with a public email can actually be imported — the rest show up but can't be turned into accounts; Trello has the same limit, since it doesn't expose member emails on standard plans either. The list is read fresh from the platform every time you open the picker.
Import is powered by email, and email is how everything else recognises people too: a document shared with someone@your-company.com in Drive reaches the imported account with that email automatically. Channels where the platform hands over a work email automatically — Teams, Google Chat, Zulip, email — recognise the sender from their first message, no setup needed. Other channels, Slack included, don't hand over an address that way: someone still links them by typing an email or platform ID in Edit → Chat channels, or by sending a one-time code.
