Frequently asked questions

Short answers to the things people ask first.

Does it use my documents to train an AI?

No, in any configuration. Your documents stay inside your own deployment and are used for one thing only: answering your team’s questions, with a citation back to the source. Answering runs through the Naxis answering service under zero-retention terms: it sees only a question and the passages needed to answer it, nothing is kept once the answer returns, and nothing you send it ever trains anything. A fully self-contained answering mode, with nothing ever leaving a self-hosted server, is on our roadmap — not shipped today.

Where does my data live?

On a self-hosted deployment, everything stays on your server. On a managed deployment, it’s held by Naxis under a data-processing agreement. Either way you can export or erase it from Settings → Security & privacy.

Can it make things up?

It’s built not to. Answers come only from your connected material and carry citations; when the answer isn’t there, it refuses rather than guesses.

Which AI does it use?

Naxis’s own — our proprietary answering engine, under a data-processing agreement with zero-retention terms. There is nothing for you to choose, licence or configure: no API key, no settings, no decisions. The assistant is ready to answer as soon as your content is connected. Your documents and their index stay inside your deployment either way; for the answering step itself, this engine sees only the question and the passages needed to answer it — never a whole document — and keeps none of it once the answer returns. A fully self-contained answering mode, with nothing ever leaving a self-hosted server, is on our roadmap — not shipped today.

Do I have to manage updates or servers?

No. Updates install themselves in a window you control, after a backup, with automatic rollback. Managed deployments are maintained entirely by Naxis.

Can people use it without a login?

Not by default: everyone answers within their own access, so people sign in — on the web, or by linking a messaging app to their account with a one-time code. Where you want a wider door, any chat channel can be opened to guests: someone who writes without an account reads only the groups you nominate for that channel, and nothing else. The website chat widget is guest-only by design, with no login at all — that is how it can serve visitors a public knowledge base while your signed-in team still sees everything they are entitled to. See Chat channels.

What formats can it read?

Common document and office formats, plus content from cloud drives, mailboxes, websites, databases and business systems. Connect a source and the assistant indexes what it finds.

Something is wrong and none of this helps.

Open Help in the assistant and use the red support button — a person reads every message. See Troubleshooting first for the quick fixes.
