Set up Outline

Connect your Outline wiki — on your own server or getoutline.com — and every published document the key can see becomes a document here, carrying its collection and author, so the team wiki answers questions alongside everything else. Read-only.

Before you start

  1. Documents → Outline: enter the address you open the wiki on in the browser, including https://, under Server URL (your own install, or https://app.getoutline.com).
  2. Paste the key into API token.
  3. Choose access groups, Test, then Sync.

What comes in

Access

A workspace-visible collection's documents use the access groups chosen on the source. A private collection's documents instead mirror that collection's own membership automatically — every member Outline lists with an email becomes a viewer of those documents here, re-checked on every sync. When a private collection's membership can't be read, its documents fall back to the source's access groups and the sync summary says why. Allow-only throughout. Switch How access works to “One list for everything” under Permissions to put everything this source brings in under the chosen access groups instead.

The key reads what its owner can read, so a collection the owner isn't in never appears at all, private or not. Test signs in as the key's owner and reports the collections it can see; it fails with a specific reason when Outline rejects the key or the server address can't be reached. The sync keeps the 3,000 most recently updated documents and says so when the wiki is larger; older ones fall out of the listing rather than being read as deleted, so what already synced stays searchable.
