Set up Brevo
Connect Brevo to make your sent campaigns searchable — each becomes a dated email document with its subject, sender and the full text of what went out, so “what did we announce in the spring newsletter” answers from the archive itself. Read-only.
Before you start
- A Brevo API key, generated under the menu below your name (top right) → SMTP & API → API Keys tab → Generate a new API key — an API key, not an SMTP key.
- Copy it right away — Brevo shows it once. Nothing else to grant: the key is used to read campaigns and nothing else.
- Can never write — only reads are ever issued.
- In Brevo open the menu under your name → SMTP & API → API Keys and generate a new API key (not an SMTP key); copy it right away.
- Documents → Brevo, paste it as API key.
- Choose access groups, Test, then Sync.

What comes in
- Only campaigns that actually sent — drafts and scheduled campaigns are left out.
- Each becomes one document titled by its subject: the send date, the sender name, the campaign's own name when it differs from the subject, then the full body, rendered from the sent HTML down to text. A campaign whose body renders to nothing is left out.
- The body comes straight off Brevo's campaign listing — no extra call per campaign, so even a full sync is at most five listing calls. Sent campaigns rank low — an old newsletter never outranks the current policy page.
Access
Access is allow-only: the groups chosen on the source cover every campaign — the source exposes no per-item viewers to mirror.
Campaigns cap at 500 inside the lookback window, most-recent first; when the cap is reached the sync summary says so. Campaigns already synced stay searchable when they age out of the window. Test connects read-only and counts sent campaigns; a rejected key reads as Brevo rejecting the credentials — check it is an API key, not an SMTP key. Revoke access any time by deleting the key under SMTP & API → API Keys.
