Your data
Your conversations are private to you — nobody else in your organisation can open them through the assistant, questions, answers and sources alike. Delete any conversation from the list on the left whenever you like: the × beside it asks you to confirm, and the deletion is immediate and cannot be undone. Conversations are also removed automatically once idle for your organisation's retention period — 90 days from the last message unless your administrator sets it differently — by a job that runs nightly.
What is kept, and what is not
The questions and answers in a conversation are stored for as long as it exists — follow-ups depend on them. Beyond the conversation itself, the assistant keeps an activity record for your administrator: that a question was asked in a given conversation, which passages were consulted and which were cited, whether it was refused, and how long it took — never the words of the question or the answer. A search is recorded as how many results it returned and which passages, never the search text; a question to the help AI only as the fact that one was asked. Actions such as a password change or an export are recorded as events, without content, and an overview shows how many questions each person asked in the last seven days.
Change your password
Open Change password from your name in the sidebar, enter your current password and a new one of at least 8 characters, and save. This only changes how you sign in — it doesn't touch your groups, your conversations, or anyone else's access.
A full export or a full erasure
Export my data (JSON), in the same menu, downloads everything tied to your account as one file: each of your conversations with when it was created and last active, and every message in it with who said it, its text and its time. Erasure has no self-service button: if you want your account and its conversations removed outright, ask your administrator — it runs from the admin console and touches only what is attached to your account.
Your display language
Language, in the same menu, sets your own display language: System default follows your organisation's setting, or pick English, Greek, German, French or Spanish. It's personal to your account and changes nothing for anyone else. It's separate from the language Naxis Assistant answers in, which always follows the language you write your question in, not a saved preference.
If your account is removed
If your administrator removes your account, you can no longer sign in, but your conversations aren't erased automatically — erasing them is a separate choice the administrator makes when deleting the account. If you want certainty that nothing of yours is left behind, ask them to erase your conversations at the same time, rather than assuming it happens on its own.
