Set up Smartsheet

Connect Smartsheet to make your sheets searchable — each sheet becomes a concept with its columns and types, each row a record named by its primary column, and every discussion becomes a dated note. Read-only.

Before you start

  1. Documents → Smartsheet, paste the token.
  2. Optionally list sheet names or ids under "Only these sheets" — blank syncs every sheet the token can open.
  3. Choose access groups, Test, then Sync.

Access

Each sheet's own sharing list carries onto everything it holds — its columns, its rows and its discussions — workspace shares and groups included, re-checked on every sync. Publishing a sheet to the whole organisation is read the same way. An administrator can also turn this off and use one fixed list of access groups for every sheet, from the source's Permissions tab. A sheet whose sharing can't be read keeps the source's access groups. Access stays allow-only either way.

Sheets are capped at 300 and rows at 5,000 per sheet; a row only re-reads when its own modified stamp moves, so a big sheet syncs cheaply once it's in. A rename never re-keys a sheet — its id, not its name, tracks it.
