Set up Productboard
Connect Productboard to make two things searchable at once: the feature board — each feature's name, status, timeframe, description and owner — and the voice-of-customer notes, each tied to the company it came from and the features it is linked to, so “is the SSO feature planned” and “what did customers say about exports” answer from the product system itself. Read-only.
Before you start
- The credential is a Productboard access token, generated by an admin under Workspace settings → Integrations → Public API access token. It reads the workspace's features and notes; only reads are ever issued, and it can never write back to Productboard.
- Only the features and notes listings are read — nothing else in the workspace.
- In Productboard open Workspace settings → Integrations → Public API and generate an access token.
- Documents → Productboard, paste it into Access token.
- Choose access groups, Test, then Sync.
What comes in
- Every feature becomes a document: its name, status, timeframe (start and end dates), description and owner (by email), dated by its last update. Archived features stay in but rank lower, so the current roadmap answers first.
- Every note becomes a document: its title (or its first line), the customer's own words, the company it came from, who logged it, the features it is linked to by name, and up to eight tags, dated by when it was created. A note with no text is skipped.
- A note names its company and its linked features, so asking about either brings the customer's words up alongside the feature itself.
Access
Access is allow-only: the groups chosen on the source cover every feature and every note — Productboard exposes no per-item viewers to mirror here.
Features are capped at 2,000 and notes at 3,000 per sync, sorted most recently updated first before the cap is applied, so the same items stay in scope from one sync to the next instead of shifting with the API's own page order; a hit cap is noted in the sync summary, and items already synced stay searchable rather than being treated as deleted. Test reads up to five features and confirms the connection read-only; a wrong or revoked token reports that Productboard rejected the credentials — revoke the token on Productboard's side and the next Test says exactly that.
