Set up Fireflies.ai
Connect Fireflies to make your recorded meetings searchable — each becomes a minutes document with the AI summary, action items and the full speaker-attributed transcript, tied to its date and participants, so “what did we agree on that call” answers from the conversation itself. Read-only.
Before you start
- An API key: in the Fireflies dashboard open Integrations, choose Fireflies API and copy the API key. Read-only in use — nothing is ever written to Fireflies.
- The key reads whatever meetings its owner can see — a plain member's key covers their own; a Business/Enterprise admin's key covers the workspace's meetings.
- Copy the API key as above.
- Documents → Fireflies.ai, paste it as API key; optionally set History to sync (days) under Advanced — 365 days if left blank.
- Choose access groups, Test, then Sync.
What comes in
- One minutes document per meeting: a header with the date, duration, a link to the transcript in Fireflies, the organiser and the participants (by email address, as Fireflies records them — the first 20 shown, the rest counted), then the AI summary with its action items, then the full transcript.
- The transcript reads as a conversation: consecutive sentences from the same speaker merge into one turn under that speaker's name.
- A meeting with no summary still carries its transcript, and one with no transcript still carries its summary. A re-worded summary or a corrected transcript comes in again on the next sync.

Access
Each meeting's minutes are visible automatically to the people Fireflies recorded as participants, plus the organiser, matched by email address — an address that belongs to no account here grants nothing. The access groups you choose only cover a meeting with no participant email on record. Switch How access works to “One list for everything” under Permissions to put every meeting from this source under the chosen groups instead.
Up to 2,000 meetings inside the window are read per sync; Sync notes it if the cap is hit — narrow the window if this persists. Minutes already synced stay searchable even when a meeting later leaves the window or is deleted in Fireflies; remove a document under Documents if one really must go. Test reports how many meetings the key can reach; on failure it says why — a rejected key reports that Fireflies rejected it, with Fireflies' own message. Fireflies slowing a large sync down is normal, not a failure — the sync retries and catches up next time. To cut access, revoke the key where it was created, under Integrations → Fireflies API.
