Set up Harvest
Connect Harvest to make time and billing searchable — each project's month of time entries becomes one timesheet document (hours by person and by task, note lines, exact totals) and each invoice becomes a document of its own, so “how much time went into X” answers from the timesheets themselves. Read-only.
Before you start
- The credential is a personal access token: sign in at id.getharvest.com/developers and press Create new personal access token — copy the token and the numeric Account ID the page shows next to it as “Your Harvest Account ID” (with several Harvest accounts, it picks which one is read).
- The token reads what your Harvest user can see: an administrator's token sees every project, timesheet and invoice, anyone else's only their own. Only reads are ever issued.
- Documents → Harvest, enter the Account ID and paste the token as Personal access token.
- Optionally set History to sync (months) under Advanced — blank reads the current month and the five before it.
- Choose access groups, Test, then Sync.
What comes in
- Each project's month becomes one timesheet document: total hours and entry count, the project's budget if it has one, hours by person, hours by task, and the note lines people wrote — date, person, task and text — up to 200 per month, with a count of any beyond that.
- Each invoice becomes its own document, titled with its number and client: state, amount and currency, the unpaid balance when there is one, issue, due and paid dates, its subject and up to 50 line items (description, quantity × unit price, amount).
- Months are read whole, never half-covered; invoices come in by issue date within the same window.

Access
Harvest exposes no per-item sharing to mirror, so the access groups chosen on this source cover every timesheet and invoice alike — including the amounts on invoices, so scope the source accordingly. Access stays allow-only. Harvest's active users are also offered to “import your team”.
Test reports how many projects the token can see; a wrong token reads “Harvest rejected the credentials”. Each sync reads up to 10,000 time entries in the window, 1,000 projects and 1,000 invoices issued in it, and says when a cap is hit — at the entries cap the oldest month is held back for the next full sync rather than synced with wrong totals (narrow the lookback if it persists). Months and invoices already synced stay searchable once they age out of the window. Billing amounts appear on invoices; pay rates and cost rates are never read. Revoke the token on Harvest's side and the next Test reports it rejected.
