Set up monday.com
Connect monday.com to make your boards searchable — each item becomes a document with its group, every column value and its update thread, replies included, tied to its board and the people on it, so “where does this item stand” answers from the board itself. Read-only.
Before you start
- The credential is an API token: in monday.com click your avatar → Developers → My access tokens → Show (admins can also use Admin → Connections → API).
- The token reads as the person it belongs to: it sees the boards that account can see, and only reads are ever issued — nothing is written back to monday.com. Once saved here it is never shown again.
- Documents → monday.com, paste the token as API token.
- To sync only some boards, open Advanced and list their ids under Boards, one per line — the long number in a board's URL (monday.com/boards/1234567890). Blank syncs every active board the token can see.
- Choose access groups, Test, then Sync.
What comes in
- Each item becomes a document: its board and group, every column that carries a value under its own title, and the update thread underneath — updates and replies in date order, each named and dated.
- The Status column sets the item's state; a column titled Owner, Person, People, Assignee or Assigned to names the people the item is tied to.
- Mirror and formula columns come back empty from monday.com's API — a platform limitation, not a sync problem — so they never appear on a document.
- Each board also becomes a short card of its own, so the board is findable by name. A board named “Subitems of …” is monday's own helper board and is skipped — it would double every item.

Access
Each board follows its own sharing. A private or shareable board mirrors its subscribers and owners: those people, matched by email to their accounts here, are the only ones who see its items, re-checked on every sync. A public board, or a private one whose people resolve to no email, keeps the access groups chosen on the source instead. Access stays allow-only either way. Switch How access works to “One list for everything” under Permissions to put every board under the chosen groups instead. monday.com's member list (guests left out) is also offered to “import your team”.
Test names the boards it can reach; a rejected token reads “monday.com rejected the API token”, and if monday.com keeps rate-limiting the sync stops with “the next sync catches up”. Each sync reads up to 500 boards and 5,000 items per board, and an item's thread carries its 100 most recent updates, older ones left out; every cap is reported on the sync, and documents beyond a cap are kept, never removed. Revoke the token on monday.com's side and the next Test reports it rejected.
