Set up Trello
Connect Trello to make your cards searchable — each becomes a document with its description, checklists (tick-state included) and comments, tied to its board, list, members and labels, so “what's left on that card” and “how was that resolved” answer from the board itself. Read-only.
Before you start
- Trello credentials come in two halves: an API key identifying the integration and a token granting it access. Create a (free) Power-Up at trello.com/power-ups/admin and copy its API key — or use the classic trello.com/app-key page.
- On the same page follow the Token link (or authorize URL), approve READ access signed in as an account that can see the right boards, and copy the token it shows. Nothing is ever written to Trello.
- Documents → Trello, paste the API key and the Token.
- Boards: optional — open a board in Trello and paste its URL straight from the browser (or its id), one per line. Blank syncs every open board the token's account can see.
- Cards: Open cards (default) or Open and archived cards — archived cards are where finished work goes in Trello.
- Choose access groups, Test, then Sync.
What comes in
- Each card becomes a document — its list and board, whether it is archived, members, due date (marked done when complete), labels, a link back to Trello, the description, each checklist as its ticked and unticked items, and the comments, each with who wrote it and when. A card on an archived list keeps that list's name.
- Each board also becomes a concept card carrying its own description and how many cards it contributed.
- Attachments are not read.
| Boards | Optional board ids or URLs (trello.com/b/…), one per line. Blank syncs every open board the token's account can see. |
|---|---|
| Cards | Open cards (default) is the live work. Open and archived cards adds where finished work goes in Trello — decisions, resolutions, how something was fixed — at the cost of a bigger first sync. |
Access
Trello does not expose member emails on standard plans, so board membership is never mirrored — every card uses the access groups chosen on this source. Access stays allow-only.
The sync is capped at 200 boards, 5,000 cards per board and 5,000 comments per board, newest first; Sync notes a cap it hits, older cards or comments past it are not synced, and cards already synced stay searchable. A listed board that isn't found is noted and skipped; when none of the listed boards can be reached, Test asks you to check the ids/URLs and the token. Test says how many boards it reached; it fails with a specific reason when Trello rejects the key/token pair. Throttling is waited out, and a sync Trello keeps rate-limiting stops with “the next sync catches up”. Revoke the token from the Trello account that approved it and Test fails from then on.
