Set up ClickUp

Connect ClickUp to make your tasks searchable — each becomes a document with its description, status, due date, priority, custom fields and comments, subtasks and closed tasks included, tied to its space, folder, list, assignees and tags, so “what did we ship for that client” answers from the done work itself. Read-only.

Before you start

  1. Documents → ClickUp, paste the token as API token.
  2. Only these spaces (Advanced): optional space names exactly as ClickUp shows them, or ids, one per line — blank syncs the whole workspace, folderless lists included.
  3. Choose access groups, Test, then Sync.

What comes in

Access

Each task inherits its ClickUp list's own membership — a list only certain people can see stays visible only to them here, its concept card too, re-checked on every sync. A list whose membership can't be read keeps the source's access groups, and Sync says so. An administrator can also turn this off and use one fixed list of access groups for every task instead, from the source's Permissions tab. Access stays allow-only either way.

The whole sync is capped at 3,000 tasks; past that, the remaining lists are skipped whole rather than half-read — Sync notes it and suggests narrowing Only these spaces — and tasks already synced stay searchable. A comment thread longer than 200 is capped and noted per task. Test says which workspaces the token reaches and that their tasks become documents on the next sync; it fails with a specific reason when the token is missing or ClickUp rejects it. Cut access any time from the same Settings → Apps page in ClickUp.
